Anaphylaxis is a serious reaction and can be life threatening. The allergy may be related to food, insect stings, medications, latex, etc. This policy is intended to help support the needs of a child with any allergy, and provide information on anaphylaxis and awareness to parents, employees and students, and volunteers.

In order to reduce the risk of exposure to anaphylactic reactions:

  1. Avoid certain foods/materials that may be contained in any craft or sensory programming materials.

  2. Advise the Centre caterer of any food restrictions and limitations.

  3. Do not use latex gloves – use vinyl gloves ONLY.

  4. Advise families, employees and volunteers that no outside food is to be brought into the Centre. Child birthdays and other special events will be celebrated with ice cream provided by the Centre.

  5. An anaphylactic procedure must be posted in each classroom.

  6. An up-to-date allergy list must be posted in each classroom.

  7. Any child who carries an EpiPen needs to be identified via a personal photo and completed Anaphylactic Procedure signed and dated by their parents and physician. All EpiPens will be stored in a clearly labeled fanny pack, strictly for the EpiPen Only. One fanny pack per child.

  8. Each child with a dietary restriction or limitation will have a food substitution checklist that is to be filled in each lunch day that the main menu has been modified. These records need to be kept on file for one year.

Parents of Children with Allergies must:

● Complete the required Ministry of Education form, providing a detailed description of the allergy of their child. This form will be posted in each classroom for the staff to refer to at all times.

● Provide the Centre staff with the monitoring and avoidance strategies used in the home.

● Provide a written list of signs and symptoms for staff and volunteers to look for should a child have an allergic reaction.

● Provide consent for Etoile Academy to administer the child’s EpiPen should the need arise.

● Ensure the Centre has up-to-date emergency contact information.

● Update any changes to their child’s allergy, medication or treatment, including if the child outgrows their allergy and no longer requires any medication to manage it.

● Provide the Centre with a current EpiPen, and any other medication that is required to treat the child’s allergy, along with a medical note from the child’s doctor giving Etoile Academy consent to administer the medication and the appropriate dosage to give the child based on their age and/or weight. The note will remain with the EpiPen or Over-the-Counter medication at all times.

In addition to providing the best possible care for all children, Etoile Academy has free access to a resource consultation staff provided by the City of Toronto and their Every Child Belongs Program. Illness can spread quickly among children in a group care setting.

Please do not bring your child to the Centre if they are unable to fully participate in daily activities due to illness. This includes symptoms such as fever (100.4°F / 38°C or higher), diarrhea, vomiting, ear or eye infections, green nasal discharge, head lice, ringworm, or any other contagious condition. Children experiencing unexplained pain, rashes, itching, or signs of communicable illness should also remain at home.

If your child develops any of these symptoms while at the Centre, you will be contacted and asked to arrange pick-up within one hour of notification, or as soon as possible. If the primary contact cannot be reached, the Centre will contact the alternate caregiver listed on the emergency form.

If your child has been diagnosed with an infectious or contagious illness (such as influenza, chickenpox, conjunctivitis, impetigo, or lice), please inform the Centre promptly. This allows staff to monitor other children for symptoms and notify families when necessary. A medical clearance note must be provided upon your child’s return to confirm they are no longer contagious.

Children must be symptom-free and not require medication for at least 24 hours before returning to the Centre. When determining a child’s wellness and ability to participate in daily programming, the Director’s decision is final.

Please note that the Child Care and Early Years Act (CCEYA) requires all children to participate in outdoor play. No exceptions can be made for children returning after an illness.

If your child has an infectious or contagious disease (i.e. influenza, chicken pox, pink eye, impetigo, lice), please advise us of his/her condition so we may watch the rest of the group for symptoms, and when appropriate, advise all parents/guardians. A medical note must be brought back to the centre when the child returns to the centre in order to ensure they are free of any communicable infections.

Your child must be symptom/medication free for at least 24 hours before they can return to the centre. In assessing the wellness of a child and his/her ability to participate in the programmed activities, the decision of the Director must be regarded as final.

Please note that the Childcare & Early Years Act (CCEYA) requires that all children participate in outdoor play. No exception can be made for children returning after an illness.

Application Procedure for the Waiting List

To be placed on the Etoile Academy waiting list, all prospective families are required to attend a scheduled tour of the Centre. During this visit, families will have the opportunity to view the facility, learn about our philosophy, and ask any questions they may have. Prior to the tour, families will be provided with the Wait List Policy and Wait List Application Form, which must be read and signed to confirm understanding and agreement to comply with the policy.

Families are added to the waiting list in sequential order based on the date and time their completed application is received. Each child will be assigned a confidential PIN number, which will be required for families to inquire about or confirm their position on the waiting list. Placement on the waiting list is determined by the Requested Enrolment Date indicated on the application form.

Families may request to move their child from one age-group waiting list to another. However, doing so will result in the waiting list date being adjusted to the date of the requested change. Families are welcome to inquire about their waitlist status at any time, but Etoile Academy will only contact families when a space becomes available.

Full-time enrolment requests (five days per week) will be given priority over part-time enrolment requests (two or three days per week). All enrolment decisions are made at the discretion of the Director. When a space becomes available, the Director will contact the family with details regarding the proposed start date, program, and schedule. Families will have 24 hours to accept, defer, or decline the offer.

If the family accepts the placement:

  1. A non-refundable payment equal to one month’s tuition (last month’s fees) must be submitted within 24 hours via electronic funds transfer to the Director’s designated email address.

  2. The Director will confirm receipt of payment. If confirmation is not received within the allotted timeframe, it is the family’s responsibility to follow up. Etoile Academy is not responsible for banking delays, additional bank fees, or ensuring funds are deposited within the required time.

If payment is not received within 24 hours, the placement will be offered to the next family on the waiting list, and the original family will be removed unless otherwise indicated. Should the family wish to return to the waiting list, a new waitlist date will be assigned.

  3. The Director will provide all final registration forms (including the pre-authorized debit form and void cheque requirements) and schedule a Welcome Meeting.

If the family defers the placement:

The family will be returned to the waiting list with a new date based on the date and time of deferral.

Families are solely responsible for keeping their waiting list information up to date with Etoile Academy, including changes to the child’s name, date of birth, contact information, or movement between age groups (e.g., infant to toddler).

Etoile Academy does not automatically move children to the next age-group waiting list. Children who age out of a program will be removed unless parents contact the Director to request placement on the next age group’s waiting list. When a child is moved to a new program, the waiting list date will be updated accordingly.

  • Infant Program: Birth to 18 months

  • Toddler Program: 18 months to 2.5 years

  • Preschool/Nursery Program: 2.5 to 5 years

If the family declines the placement:

The child will be removed from the waiting list.

Families who joined the waiting list before December 20, 2025, will follow the previous Registration and Waitlist Policy in place at that time. This means their placement and terms are protected under the old policy, even though new families follow the updated rules.

Etoile Academy reserves the right to amend this waiting list policy as required. Final admission decisions rest with the Board of Directors.

To withdraw from the program, written notice must be provided by 5:00 PM on the last business day at least two months before your child’s withdrawal date. If notice is given less than two months in advance, the deposit will be forfeited.

For example, if your child’s last day is June 30, notice must be received by 5:00 PM on the final business day in April. Notice given on April 18 would allow your deposit to be applied, but notice given on May 1 or later would result in the deposit being forfeited.

Any credit from your original deposit (for example, if your child started at the infant rate but withdrew at the preschool rate) will be applied and refunded before your child’s departure.
